Frequently Asked Questions

Board of Trustees Ex-Officio Volunteer FAQs

What does the term “Ex-Officio” mean?

An ex-officio trustee will receive notices of, and may attend all meetings of the Board, but shall not have any of the duties, rights or responsibilities of the Board; shall not be subject to attendance requirements; shall not be counted in determining quorum; and shall not be entitled to vote at meetings of the Board.

What is the meeting schedule of the Board of Trustees?

The board year runs from June to June each year (from the Annual Meeting to the next Annual Meeting). During that time the board typically meets five times: September, November, February, April, and June each board year. There are usually no meetings in July and August. Meetings take place on Wednesdays from 2:00 to 5:00 pm, aside from the Annual Meeting, which is from 1:00 to 5:30 pm. Meetings are held in person, on site at the AGO, typically in the Weston Family Learning Centre seminar rooms.

How are new Trustees welcomed to the Board?

Typically, new Trustees are invited to participate in an orientation session, which includes a lunch meeting with the President of the Board, Director and CEO Stephan Jost, and several Leadership Team members, followed by a tour of the AGO. In addition, all new Trustees receive a comprehensive onboarding package, including General Information about the AGO, Board & Committee Structure, Committee Terms of Reference, AGO Bylaws, the Art Gallery of Ontario Act, Board policies, and the most recent strategic plan/vision document.

What are some additional ways to get involved while on the Board?

There are several working committees within the Board structure, and trustees will have the opportunity to participate on these working committees. Examples include Curatorial, Corporate, Government, and Education. More information about the composition of these working committees will be provided as part of onboarding.
