Navigating the search screen

Most searches will first retrieve a list of brief bibliographic records that display the Title, Author, Publication, and Collection and Call Number information. The search screen will display up to 12 brief bibliographic records for each page of results. The total number of records retrieved from your search will display in the top center of the search screen, while the total number of pages of records will be indicated in the upper and lower right corners of the search screen. To view the full bibliographic record, click on the Title. To return to your search list, use your browser’s back button. You can scroll down and up the search screen using your browser’s scroll bar or using the page down and page up keys on your keyboard. Before moving to the next page, select any titles you might want to keep, marking them with the check box next to the Title, and then adding them to My List, or for Printing or Emailing later in your search session, using the Select an action menu option. To continue to the next page of results, click on the next page number in the upper or lower right corner of the search screen, or use your browser’s forward button. To begin a new search, click on the Home icon.

The default collection for searching the library catalogue is for materials in the MAIN collection of the library. If you want to include the RARE book collection in your search (which includes rare publications, artists’ books and Canadian illustrated books), switch the collection from “Main collection only” to “Everything”.

If there is only one result for your search, you will retrieve the full bibliographic record. If there are multiple records, these will be displayed in a list of brief bibliographic records. To retrieve the full record, click on the Title.

Use the drop-down menu next to the collection field to perform a variety of search types:

  • All fields: a general keyword search of all fields in the bibliographic record
  • Artist keyword: retrieves all records in the database relating to an individual artist as subject, author, or in group exhibitions. (eg. Joyce Wieland)
  • Keyword in Author headings: retrieves a list of author names with links to any bibliographic records in the database associated with that author.  The list lets you choose among similar names before seeing your search results. Note that you can also use this search for Corporate Authors such as museum and gallery names, and Conferences or Biennials.

Examples:

Filter by Keyword in Author heading, search for Documenta
  • Keyword in Subject headings: retrieves a list of subject headings with links to the bibliographic records in the database catalogued with that particular subject heading. This could be for an individual artist, such as “Anne Savage”, or a general or specific subject term, such as “painting Canadian 20th century”

  • General keyword searches: Unlike the Keyword in Author heading or Keyword in Subject heading searches, which retrieve a list of authority controlled headings, these keyword searches will directly retrieve a list of brief bibliographic records that contain the words you entered in your search query.
  • Author: this is a keyword search in the author field. If you want works by a specific author use quotation marks.
  • Title: this is a keyword search in the title field. If you want a specific title, use quotation marks.
  • Subject: this is a keyword search in the subject field.
  • Museum/Galleries: this is a keyword search in the corporate author field
  • Conferences/Biennales: this is a keyword search in the conferences/biennales field
  • Series: this is a keyword search in the series field
  • Call number: this is a key number search in the call number field
  • ISBN: search for a specific title using its ISBN number
  • ISSN:  search for a journal title using its ISSN number
  • Donor keyword

 

Advanced searching

Advanced search option (to the right of the Search menu) allows you to construct a more detailed search query using exact phrases, as well as allowing you to exclude specific terms from your search query. You can also apply any combination of limits on your search with Additional limits, including format, language, and collection.

Once you have set up your search with the terms and limits you want, click Advanced Search to get your search results.

Sorting your search results

After you have received the results of a search, you can use the Sort By drop-down list to sort the results by publication date (ascending or descending), title, or author. The most relevant results are then sorted by that option.

Filtering your search results

Search facets limit the results of your search by filtering results by specific categories, such as Author, Publishing date, Material Type or Collection, Language, and Subject. You can find facets under Limit Search Results on the left side of the page. Each facet narrows the search to specific works in the library. For example, if you select "Language" and “English” your search results will only include items that are in English. Some facet categories will have an option to view More or View all. Clicking on More will add more facet options to the list. Clicking on View all will load a popup window with a list of all available facets from which you can chose. Collapse All resets the facet display for that type.

The Publication Date facet has two views: Graph and Date. You can toggle between the two. The Date view works just like any other facet. The Graph view, however, has some other options:

  • Use the sliders to create a date range (for example, 1971-1990). Then select whether you want to include or exclude that date range in your search results.
  • Enter a date range in the text boxes (for example, 1971 and 1990). If you want the date range to have no end (up to the current date), leave the second text box blank. Likewise, if you want the date range to go back as far as it can, leave the first text box blank. Select whether you want to include or exclude that date range in your search results.
Removing a facet from search criteria

Any facets you have applied will appear in the Narrowed by section. Facets you have included in search results will have a + (plus) sign; facets you have excluded will have a – (minus) sign. Click next to a facet to remove that specific facet, or remove all facets by clicking Clear all.

Compiling and sharing your search results

The Select an Action drop down menu is found on the search results page, on an item's detail display, and in My Lists. From the search results, click the checkbox next to the desired item or items. You can

then carry out the following functions from the Select an Action menu:

  • Add to My Lists: save selected items to a temporary list
  • Email: email item information
  • Print: print item information
Using MY LIST

The My List feature lets you compile a temporary list of bibliographic records from your search results that you can print out or email to yourself, or to the library for book retrieval. From your search results page, select any titles you might want to keep by marking them with the check box next to the Title. Before you move to the next page of results, add these marked records to My List by using the Select an Action menu.  
To view your list on My Lists, click on My Lists from the menu bar. To return to your search results, use your browser’s back button.

When viewing your temporary list, you can use the Select an Action menu to save the list, delete selected records or all records in the list, email the list to yourself or to the library, or print the list.

If you want to save your list, you must first login to your AGO staff library account (see below). Once logged into your account, you have the option to “Select a list”, which allows you to add more records to an existing saved list, or to a new temporary list, which you can then name and save. When you are logged in and on the My Lists page, you can create, delete, and order your lists.

To Create a new named list to which you may add records, click on the plus sign at the top of the Lists box and enter a name when prompted. To Delete a saved list, mark the check box next to the list, then click on the minus sign at the top of the Lists box to remove the list.

Using the Select an Action menu, you can Move or Copy selected records from one list to another.

To move records within a single list, place the cursor on the drag-and-drop handle icon just to the left of the check box, click and drag. To move multiple records, select the records you want to move using the check box, then place the cursor on the drag-and-drop handle icon to the left of the check box, click and drag. You can also reorder your Lists using the same instructions.

Note: If you leave the browser window without saving the list, the Temporary List will be cleared.

How to Login to your AGO staff account

Click Log In from the menu bar at the top of your screen.

A pop-up window will prompt you to enter your Badge number and PIN.

Enter your credentials and click on the Log In button.

Once you are logged in you can click on My Account from the menu bar at the top of your screen to see Checkouts (books you currently have checked out), Holds (books you have placed on hold), and Additional Information (for any Patron alerts).

Checkouts: click on the Checkouts tab to see what books you have signed out and when they are due.
If necessary, you can renew a checked out book from here.

Holds: click on the Holds tab to see the current status of any books you have placed on hold. You can also suspend or cancel any holds you have from here. You can place a book on Hold from the brief bibliographic record, the full bibliographic record, or from records place in My List.

As mentioned above in the My Lists information, once you are logged in you can create and save bibliographic records to a list.
